GCE-Elmina Duathlon 2019 - Rules & Regulations

COMMON REGULATIONS

1. The Organiser (Jointly organised by Guthrie Corridor Expressway, Projek Lintasan Kota Holdings Sdn. Bhd., Sime Darby Property Berhad and GoSportz Sdn Bhd ) reserves the right to amend the Rules and Regulations (“R&Rs”) without prior notification.

2. A rider / runner, being a person who has entered to take part in the Event, is deemed to have given written permission to the Organiser for the Organiser to collect, analyse and collate the personal information relating to that rider. By completing the official entry form, including through online registration, the rider / runner signals his / her agreement to abide by these R&Rs.

3. The Organiser reserves the right to use any photographs, motion picture, recordings, or any other record of this race and its participants for any commercial advertising including legitimate purpose.

4. The Organiser reserves the right to amend the race course with prior notice to participants.

5. The Organiser reserves the right to limit and/or refuse entries without assigning any reason thereof.

6. Whilst every reasonable precaution will be taken by the Organiser to ensure the participants’ safety, participants partake in this event at their own risk and the Organiser shall not be liable for any bodily injuries, loss and/or damage to property, whether personal or otherwise, and howsoever arising.

7. After registration, there will be no fee refund for any rider who does not in due course take part in the Event, for any reason whatsoever. Registration is strictly non-transferable.

8. On-the-spot entries will not be entertained.

9. The Organiser will not be responsible for any disputes arising from incomplete/ wrong entry details given by the participants.

10. Entry forms that are incomplete will not be entertained. A Registration Confirmation Slip will be sent to registered email addresses after registration to confirm your race entry. Please inform the Organiser if you do not receive the Registration Confirmation Slip by the Closing Date, please email to This email address is being protected from spambots. 11. The event registration will only be confirmed when full payment of race registration fee has been made.

12. To ensure that your registration details are correct, please check your particulars upon receipt of the Registration Confirmation Slip and report the discrepancy from your intended registration within 48 hours after entry form has been submitted to the organizers.

13. Participants are strictly NOT ALLOWED to transfer their ride entries to another party or change ride categories once their registration is confirmed.

14. Participants both in the individual and relay category must ensure that their Timing Band is securely strapped to the left or right ankle before beginning on any leg of the race. The Organizer is not responsible for any in accuracy in participant’s race timings due to improper wearing of the Timing Band.

15. For safety reasons, participants who do not start on their respective flag-off time, may be disqualified and to lose their priority on their category, and not be allowed onto the course.

16. All participants must follow designated routes and are solely responsible for following the designated route and timing points.

17. Cut-off Time and Area

Route officials will divert participants who are unlikely to finish the ride / run within the stipulated duration. Such participants will be guided to the designated diversion points along the route. For their own safety and to avoid being caught in between live traffic, participants must follow instructions. Participants who fail to do so may be removed from the route immediately. Finishers’ medals will not be issued to the aforesaid participants. The competitive participants category, participants will be recorded as ‘Disqualified’ or ‘DNF’ (Did Not Finish) in the official timing.

18. All participants must abide by the standard Highway Code, national rules of the road as well as the direction of police, traffic management and Event officials during the ride.

19. All participants are to remain behind the safety escort lead vehicles and in front of the safety escort rear vehicles.

CONDITIONS OF ENTRY

By registering his / her entry each participant indicates his / her acceptance of the conditions below. In order to participate in the Event, riders must comply with any age requirements specified in their category. Riders must adhere to the following: -

Age Group

20. For registration purposes, participants ages are calculated based on 2019 less birth year.

21. Participants below the age of 18 for Dash Duathlon, Fun Ride and Fun Run category are required to obtain parental / guardian’s consent and complete the indemnity declaration form as deemed necessary by the Organiser upon registration and email to This email address is being protected from spambots. You need JavaScript enabled to view it. , failing which, the Organiser reserves the right to refuse entry.

Transition Area

22. Only participants with valid bibs / timing chips are permitted into this area.

23. No person/s (unless participants) are permitted of entry into Transition Area during Race duration.

24. Participants who wishes to collect their belonging may do so after the Race is over, unless permission is granted by the Organizer.

25. Participants are encouraged not to keep their personal belongings/valuables in this area; please use the baggage deposit counter.

26. Although the Organizer will take all the necessary precautions and safety measure to ensure participants enjoy a smooth transition, all participants are to ensure they rack their bikes (and transition equipment) within your designated area only.

27. Relay team members are required to be waiting at the designated “Relay Waiting Area” only, to perform the exchange.

Running

28. Runners must wear their race numbers/bibs at the front of their adorned apparel at all times during the run.

29. All participants shall be ready and assembled at the Run Start Holding Area 30 minutes prior to the Run.

30. Private support vehicles or pacers are not allowed. Only official support car or racers are allowed on the route.

31. Runners must run on the designated path for the entire route. Failure to do so may result in disqualification.

32. Runners are responsible for their own knowledge of how many laps/km they should be doing.

33. Please take note that all Technical Officials / Marshals / Volunteers are there to see to the safety and welfare of participants and to ensure that there will be no interruptions of unauthorised vehicles / spectators entering the race site during the run course event commences.
34. They are there to see that the race is conducted in a safe, fair and proper manner with no prejudice or violation of any sort pertaining to the run and welfare of all participants.

35. No running with bare torso.

36. Wearing of headphones is not allowed at all times.

Cycling

37. Participants must ensure that their Bib Numbers are clearly visible on their adorned apparel at all times.

38. A participant may run or walk with his/her bicycle.

39. Cyclists are to keep to the left side of the road unless overtaking and are reminded to observe traffic rules at all times. Overtaking on the left of a cyclist is dangerous and should not be allowed.

40. The helmet must be worn before the cyclist remove his/her bicycle from the bicycle rack and has to stay on the cyclist’s head until he/she has placed his/her bicycle back securely at the allocated spot on the bicycle rack.

41. All participants will have to perform their own repairs if their bicycles breakdown.

42. All participants are encouraged to have their bicycles inspected by professional bicycle shops before their race. It is the participants’ responsibility to ensure that their bicycles and bicycle brakes are in good working condition.

43. Distances and durations indicated for all categories of rides are only approximate. The organiser reserves the right to amend such distances and durations should circumstances demand it.

44. The following bikes are STRICTLY NOT ALLOWED for any category:
- Bikes with Disc Wheels / Rim Covers;
- Bikes with Fixed Wheels with No Brakes;
- Fixie Bikes;
- Motorized Bikes;
- Unicycles; and
- Scooters.

45. Road Bikes, Sports Bikes, Touring Bikes, Hybrid Bikes, Mini Velo Bikes, Folding Bikes, Mountain Bikes, Bikes with Aero or Extension Bars, Time Trial Bikes are allowed.

46. Tandem bicycles may be used by visually handicapped riders ONLY. Participants should seek clearance from the Organiser on a case-by-case basis.

47. Riders MUST NOT:

- Ride without a protective cycling helmet;
- Ride dangerously or negligently; or
- Use MP3 Players, iPods, Walkmen or other mobile music devices while riding.
- Use handheld cameras or telephones while riding.

Drafting is strictly not allowed. Full Duathlon and Team Relay cyclists must keep a distance of 12 metres between bikes whilst Dash Duathlon cyclists must keep a distance of 10 metres.

- Cycle in a ‘single file’. While cycling, athletes are supposed to cycle in one line (to the utmost left side of the track) with the prescribed distance between them.
- No fellow athlete may be hindered.
- Hindering happens when overtaking a fellow athlete and putting him/her in a drafting/stayer position. The person who overtakes is responsible to observe the rules. When the overtaker is not able to pass, he/she may not cut in but has to maintain a distance of at least 10m from the cyclist in front.
- In the former rules the responsibility was for the person that was overtaken.
- Hinderer may be punished by a ‘stop and go’ penalty/ or black box.
- The person who overtakes has to go at least 3 - 5m to the right. This depends on the width of the road.

48. Bike Check-In ( Full Duathlon, Dash Duathlon and Team Relay categories only)

- Bicycle Check-in will be COMPULSORY, Running and cycling accessories may be brought into transition area on the morning of the race.

- Bicycle Check-in will be done at the Transition Area.

Team Relay

49. Team Relay is only open to 18 years old and above.

50. A maximum of 3 members is allowed for team relay.

51. A team of 3 participants joined the event which each of participant responsible for one section.

52. Men Relay comprising male participants only and Mixed Relay comprising mixed gender participants.

53. A refundable deposit of RM100 is required to be paid to the timing band provider when you collect the timing band (a special band to be strapped on off by 3 members ) on event day for Team Relay only.

Prize Winner

54. A winning participant may elect to receive an award in another prize category to which he / she is entitled to, which might offer a higher value prize. Notwithstanding the participant’s election, his / her finishing positions in each relevant prize categories will not change.

55. Prizes may be awarded in non-monetary terms.

56. The Organiser reserves the right to replace any winners if he / she is found to be disqualified.

57. Prize winners must report to the prize giving zone. In case fails to do so, the Organiser may donate the cash prize money to charity.

58. All prize winning participants must present their original identification document, such as Identity Card or Passport, to collect their prize money within 15minutes after emcee announce.

59. All prizes not claimed within two (2) weeks from the event date will be forfeited and the Organiser will be at liberty to redistribute or dispose of these proceeds as it sees fit.

60. Prizes must be taken, in the form as presented by the Organiser. They are not transferable or exchangeable for cash and are subject to the R&Rs as determined by the Organiser.

61. “Gun Time” will determine the winners of all applicable categories.

62. All prize winners or potential prize winners wishing to appeal, or dispute results must make such appeals on-site in person and in writing. Appeals must be received within 30 minutes of publishing of unofficial results on the board at the Event site and must be accompanied by an appeal fee of MYR200 in cash. Organiser reserve rights to forfeit the appeal fees, if found the appeal is invalid. If the appeal confirmed valid, RM200 will be refunded to said appeal. Where possible, the appeal should be made before the prize presentation, the Organiser reserves the right not to entertain any disputes or appeal thereafter.

63. For all other participants, disputes and appeals regarding the results must be submitted in writing including electronic mail within 3 days after the event day, the Organiser reserves the right not to entertain any dispute or appeal after 6pm on 11 September 2019.

64. For all disputes on results, organisers and commissaires decision is final and no other disputes thereafter will be entertained.

Additional Rules and Regulations

65. You are NOT allowed to participate under someone else’s name or number under any circumstances.

66. The Event will take place regardless of bad weather and will only be cancelled, re-routed or stopped in extreme circumstances for safety reasons. The final decision on this will rest with the Organiser.

67. Child seats on bicycles are not allowed due to safety reasons.

68. All race packs that are not collected on the designated collection day(s) will be available for collection one week after the said event day for a continuous 7 days within the working hours at our office. Thereafter the uncollected race pack(s) will be unpacked and no more collections will be allowed.

Participants ‘Entitlements

69. All participants advise to take care their bicycles during event, organiser will not responsible for any lost or damage on their bicycles and accessories.

70. All participants who successfully complete the ride in their chosen category will be awarded a Finisher’s Medal upon the presentation of their Cycling Bib to the respective officials.

71. All Finisher’s Medals are to be collected on Event day.

72. Such timing devices will officially record their finishing times. All such official finishing times will be posted on the website within 2 working days after completion of the Event. Medical Recommendations.

73. The sport of Duathlon is physically demanding. If you are not sure of your physical health, please seek the advice of a medical professional before you register for the race.

74. Participants are advised against the consumption of alcohol or stimulants or any kind of drugs within 24 hours of their race.

75. Participants are to ensure that they are well-rested and well-hydrated on day of race.

76. Participants are advised to dress lightly.

77. Should any participant feel unwell in the course of race, he/she should stop and seek immediate medical attention at designated medical posts.

78. The organiser reserves the right to remove any participant deemed physically incapable (i.e. severe physical harm) of continuing the race.

WEATHER POLICY
The Event will be held, rain or shine, unless the Organiser determines that conditions are too dangerous. This will be based on a prudent decision made three (3) days before the Event day or on the Event day by the Organiser and local law enforcement officials. If the Event is cancelled due to inclement weather, there will be neither refunds nor transfers. In the event of inclement weather or unforeseen circumstances, the Organiser reserves the right to alter, cancel or eliminate any / all portions of the Event.

CONSENT TO THE EVENT
By taking part in the Event, I agree to abide by these Rules & Regulations. Projek Lintasan Kota Holdings Sdn. Bhd, Sime Darby Property Berhad and GoSportz Sdn Bhd, collectively the Event Organiser, reserves the right to modify such Rules & Regulations in any way and at any times deemed necessary or appropriate, without materially affecting the terms and conditions of this event. I consent to the use of any photographs, motion pictures, images, recordings, or any other record which may include me, in any record of the Event or for future promotion of the Event.

WAIVER OF THE EVENT
In consideration of the Organiser accepting this entry, and my registration to participate in the Event, I hereby waive and release any and all rights to claims to damages I may have against the Organiser holding this Event, their agents, representatives, successors, assigns, sponsors for any and all injuries, death and invalidity I may sustain before, during or after the course of the Event or arising as a result of it. I hereby indemnify the Organiser and keep them indemnified and waived against all claims or damages that arise in consequence of the above. I am aware of my responsibility to provide the Organiser with a copy of the signed Waiver form (download form Here) required for the relevant category I will participate to be in compliance with the Malaysia Triathlon’s rules.
